Initial Submission (Step 2)
Submit these two required documents by email to initiate the procedure:
The completed Form — TUT's designated application form for MEXT Embassy Recommendation applicants
A copy of the passing certificate for the Preliminary Screening — Issued by the Japanese diplomatic mission
Important: The procedure will NOT be initiated until both required documents have been submitted.
Full Document Submission (Step 3)
After receiving confirmation from the Educational Planning Section, submit the following documents by email:
(a) Your CV — Must include a complete description of your educational and employment record (form is optional but content must be complete)
(b) Copies of documents submitted to the Japanese diplomatic mission — Stamped by the diplomatic mission and returned to you, including:
(1) Application Form
(3) Field of Study and Research Plan
(4) Academic transcript — For all academic years of university attended
(5) Certificate of graduation or degree certificate — From the university attended
(6) Recommendation letter — From the president/dean or academic advisor of the university graduated from or currently attending
(7) Medical Certificate
(8) Abstracts of theses — Only if submitted to the Japanese diplomatic mission
(9) Certificate of language proficiency — Only if submitted to the Japanese diplomatic mission
(10) Recommendation letter from present employer — Only if submitted to the Japanese diplomatic mission
(11) Photograph(s) of works of art or digitally recorded media of musical performance — Only if submitted to the Japanese diplomatic mission
Do NOT submit "(2) Placement Preference Application Form" to the university.

Eligibility Criteria
Applicants must meet the following requirements:

Must have already passed the preliminary screening conducted by the Japanese diplomatic mission in your home country

Academic Qualifications
Must hold a bachelor's degree or equivalent for research student status
Must intend to pursue research in a field related to TUT's departments and institutes
Must demonstrate strong academic background and research potential
Supervisor Availability
Must identify and secure agreement from a TUT professor or associate professor willing to serve as academic supervisor
The supervisor must confirm their ability to guide your research during your stay at TUT
Language Proficiency
Must meet the language requirements set by MEXT and TUT
English proficiency is essential; Japanese language skills are beneficial but not always required depending on the research group

Step 2 — Submit Initial Documents
Complete the TUT application form
Obtain your preliminary screening passing certificate from the Japanese diplomatic mission
Submit both documents by email to the Educational Planning Section, Educational Affairs Division
Step 3 — Submit Full Documentation
Await confirmation email from the Educational Planning Section
Prepare your complete CV with full educational and employment history
Gather all stamped documents returned by the Japanese diplomatic mission
Submit all documents by email as instructed
Step 4 — Await Decision
TUT conducts internal screening — This process takes time; be patient
Receive Letter of Provisional Acceptance (if successful) — Sent as PDF via electronic media
